Others may think that's bad, but that's how my users work and we have the storage to do it, so that's the way we do it. I ended up altering the default retention policy to five years while having the Sent Items policy at six months. They can be working on a single client project for well beyond two years and keeping all of that e-mail together makes sense. I was wrong because I didn't understand my user's data needs. I thought the default retention policy of two years would work well for us.

The end results for us was some users have lots of e-mail in archive folders and some have most of their archives over in their main mailbox. What I ended up doing for some users was to create an archive area in their main mailbox that they could file their e-mails into and then imported their PSTs into their main mailbox instead of the archive.

Since the archive folders aren't cached on the workstation in the OST (this is the main advantage of archive folders, btw), they always have to load from O365 and they are fairly slow, particularly when manually moving messages with large file attachments into the archive folders.

I didn't read or test as well as I should have and what I discovered is that performance on the archive folders is atrocious. I had the goal of moving all of my PSTs over to O365 archive folders for the same reason it sounds like you were, to provide an online backup of all of their online e-mail. I've been disappointed with Office 365 archive folders myself. Phasing it in and seeing how it impacts a couple of mailboxes at a time would have also been helpful. You should have tested it with at least one mailbox first before deploying it to others that could have shown you that your edition of Office 2010 wouldn't see the archive folders. The archiving feature in Office 365 is activated on a per mailbox basis, at least that's how it worked on my E2 subscription.

I don't recall the issue with the various editions of Office 2010 I may have read about it and just skipped it because we have the Pro Plus license. In the case of Office 365 e-mail archiving, it should have been fairly clear that the "Default" retention policy would indeed be the default retention policy. I don't mean to be harsh but some more testing and reading could have helped out a lot.īefore activating a feature in Office 365 or any other service, you should read up on how it works and what the system requirements are.

My users have Outlook which came with the Home and Business Edition and that is why they cannot see their archive file.did anybody else know that the programs from different suites of Office of the same version year (2010/2013) have different capabilities? Not happy! So now Microsoft is saying that I have to upgrade my users to the plan that comes with Microsoft Office Profesisonal Plus which is $12 per user! Has anybody had this issue? If so did you find a work around?.and of course in the meantime users are demanding that they need to access their old emails from their Outlook client.

Things that Microsoft did not mention: When you enable the archive for users they will be automatically be put on the "Default Retention Policy (their setting was moved from "No Policy" to "Default Retention Policy), this means that all of my users' emails that were 2 years old (or older) were automatically moved to the Archive.I did not like this but ok fine at least users can still access their old email using the Archive.or so I thought.to my surprise I found that the Archive file would NOT show in Outlook 2010/13 however if they went to the Outlook Web App they could see the archive file with all of their emails just fine.After spending hours with Microsoft I found that unless the version of Outlook that you have is the one that comes with Microsoft Office Professional your users will not be able to see their Archive file!!. So I have about 100 users under Exchange Online Plan 1 which ($4) comes with the Archive feature ( ), first I should mention that all of my users' retention policy in Exchange Online was "No Policy" therefore there was no policy being applied to them at all (Exchange online comes with a "Default Retention Policy however I made sure that it was not being applied to my users ).so it was decided to enable the online archive feature for my users so that for those who chose to use it they will have a copy of their archive on exchange Online (so that if their computers crash they would still be able to recover their archive from Exchange Online)
